An exciting opportunity has arisen for an enthusiastic and friendly individual to join our reception team as a Medical Receptionist.
Taiglum Medical Practice is a semi-rural Ayrshire practice which provides medical services to approximately 9000 patients distributed across 3 sites (Drongan, Mossblown and Coylton). Our friendly and experienced reception team operate across all three practice sites and provide a first point of contact to our patients as well as helping to support our 8 GP partners, 2 practice nurses and the wider Multi-Disciplinary Team that operate within our practice locations.
The ideal candidate will be the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong organisational skills and the ability to handle multiple responsibilities in a fast-paced environment.

Key Responsibilities
Ensure that all reception duties are performed effectively and to the required standard, meeting the objectives of the practice
Communicate effectively with patients to direct them to the most appropriate care provider
Act with integrity
Display emotional intelligence when dealing with other people
Listens empathetically to, and fully understand other's needs
Maintains confidentiality.
Use different systems to communicate with a wide range of service users including the individuals using the service, their carers or family members.
Key Duties
Answer incoming phone calls, transferring calls or dealing with requests appropriately
Maintaining and monitoring the practice appointment system
Book in patients when attending for appointments
Process appointment requests whether made in person or telephone
Data entry of new and temporary registrations and relevant patient information as required
Manage all queries (including administrative queries) as necessary in an efficient manner
Process incoming and outgoing post.
Photocopy documentation as required.
Input clinical data into the patient's healthcare records as directed by GPs
Scanning of patient related documentation and attaching scanned documents to the patient's healthcare records.
Follow up on patient/clinician requests.
Support all clinical staff with general tasks as requested
Support administrative staff, providing cover during staff absence
Support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
Qualifications and experience
Essential
Minimum of 5 National 5 Passes or their equivalent qualification
Fluent in English
Good communication skills, both verbal and written
Previous experience in a reception or administrative role
Desirable
Previous experience in a health care setting
Comprehensive understanding of Microsoft Office, including Word, Excel and PowerPoint
Previous experience of using EMIS PCS and Docman IT systems,
Able to work well in a team
Able to work to tight deadlines and manage time effectively.
Upon starting with the practice, the successful candidate will be given training both by the practice manager and other members of the reception team on the various systems operated by the practice, along with policies and protocols.
Please note that whilst a Driving license is not required for the role, it may be advantageous for the successful candidate as the position may involve moving between multiple sites.
Hours
The Current position is for 30 Hours per week.
Contract Length
The contract length is permanent.
Pay
This position will pay 14.37 - 15.51 per hour depending on experience.
Holiday entitlement
The Successful candidate will be entitled to 6 weeks annual leave allowance per year.
Public Holidays are additional to annual leave allowance.
