Front of House - KP Aesthetics & Hale Private Clinic



Salary:

12.21. per hour + overtime

Approx. Annual Salary (Full Time 40hrs/week):

24,480.00


Hours:

Full-time, 40 hours per week

Shift Patterns:



8:30am - 5:00pm 9:30am - 6:00pm 11:30am - 8:00pm (one late shift per week required) Alternate Saturdays

Key Duties & Responsibilities - Front of House & Patient Experience



Provide a warm, professional welcome to all patients attending for consultations, treatments and surgical appointments. Answer all incoming calls in a polite, professional manner; book, amend and manage appointments. Ensure efficient diary management using

Pabau

to maximise clinician and theatre utilisation. Handle patient communications across phone, email, WhatsApp, Instagram and Facebook. Confirm upcoming appointments, manage late cancellations, and support patient journey communications. Maintain accurate, up-to-date patient records including consent forms and profile photographs. Process payments for treatments, skincare, packages, deposits and surgical procedures. Prepare daily spreadsheets and financial logs relating to payments and receipts. Support patient engagement through open days, promotions, events and loyalty initiatives.

Surgical & Clinical Support (Hale Private Clinic)



This role will also support the surgical reception and pre-operative patient pathway.


You will:

Manage

front-of-house for surgical patients

, including arrivals for consultations, pre-operative assessments and surgical admissions. Host

private medical insurance consultations

during late clinics/evening sessions. Liaise directly with

surgeons, anaesthetists, ward teams and medical secretaries

to ensure seamless communication and accurate patient information flow. Prepare and update patient files, consent documentation and pre-surgical administration on Pabau. Support safe patient flow across reception, consulting rooms and day-case surgical areas. Assist with administrative duties relating to surgical lists, insurance queries, letters and appointment coordination.

Operational & Administrative Duties



Maintain clinic presentation, cleanliness and infection control standards (as per policy). Manage laundry, treatment room consumables and incoming stock deliveries. Check, unpack, record and store stock deliveries; input all items into Pabau. Print and distribute daily diary sheets at the start of each shift. Identify and resolve day-to-day issues or escalate appropriately to the line manager. Support the wider clinic team in setting up the clinic each day. Attend team meetings and contribute to improving processes and patient experience. Continuously expand knowledge of treatments, skincare, products and equipment.

Skills & Experience Required - Essential



Highly organised with excellent customer service skills. Friendly, calm and professional manner when dealing with patients. Strong IT skills including Microsoft Office and experience with appointment systems. Excellent communication, attention to detail and a willingness to learn. Ability to work confidently on reception, manage busy diaries and multitask.

Desirable



Previous experience in a clinic, medical, aesthetics or private healthcare role. Experience with Pabau or similar CRM/clinic software. Understanding of private healthcare or surgical patient pathways.
