About the Role



We are looking for a professional, proactive and well-presented

Receptionist

to become the face of our clinic. This role is essential to ensuring exceptional client care and supporting the day-to-day operations of our medical team.

The ideal candidate is highly organised, confident in a clinical-luxury environment, and comfortable managing both patient experience and administrative responsibilities.

Key Responsibilities



Client Care & Front Desk Operations



Provide a warm, professional welcome to all clients upon arrival Manage appointment bookings, rescheduling / cancellations and reminders using clinic management software Answer incoming enquiries across phone, email and online platforms

Respond to leads and calls from marketing portals

, ensuring quick and accurate follow-up Check clients in and out efficiently, handling payments and issuing receipts Support client satisfaction through timely

follow-up emails

, and aftercare communication Maintain a clean, serene, and organised reception and waiting area at all times

Clinical Support



Take and upload high-quality pre- and post-treatment photos

in line with patient confidentiality and brand standards Ensure all clients complete medical questionnaires, consent forms, and documentation correctly Support practitioners by preparing treatment rooms with necessary products and equipment Monitor treatment flow and help coordinate client handovers to clinicians

Stock & Facility Management



Conduct regular stock checks

of clinical consumables, medical supplies, kitchen items, and cleaning products Assist with stock ordering and supplier coordination to ensure availability of essential items Log and monitor usage of key products for compliance, tracking, and reordering Ensure cleanliness and organisation of all communal and back-of-house areas

Compliance & Administration



Adhere to clinic protocols, infection control measures, and high standards of hygiene Ensure GDPR compliance and accurate, confidential handling of patient data Maintain up-to-date patient records in line with CQC and medical standards Support the team with internal scheduling, admin duties, and clinic reports as needed

Marketing & Engagement



Assist with patient engagement initiatives, such as requesting reviews and feedback Be comfortable representing the brand in client-facing digital content or assisting with

social media

(e.g., sharing treatment day stories, behind-the-scenes content) Help manage and grow positive patient experiences both online and in-clinic

What We're Looking For



Experience in a

reception / front-of-house role

, ideally within an aesthetic, medical, wellness, or luxury setting Strong interpersonal and communication skills Excellent organisational skills with the ability to multitask and remain calm under pressure A professional and polished appearance with a confident, positive attitude Tech-savvy , comfortable using booking systems, emails, spreadsheets, and digital tools Strong attention to detail and a proactive approach to daily tasks Familiarity with GDPR and/or CQC standards (training provided if needed) A genuine interest in skincare, beauty, and aesthetic medicine is highly desirable

Working Hours



Full-time or part-time Flexibility required to cover

evenings and weekends
