Medical Receptionist

Elmswood Surgery is looking for a medical receptionist to join our friendly GP practice in Nottingham.

Monday 13:30-18:30

Tuesday 13:30-18:30

Wednesday 13:30-18:30

Thursday 8:00-13.30

The successful candidate must have excellent communication skills and ability to work well under pressure.

The role includes providing general assistance to the practice team and candidates must have a positive can-do attitude to their work and work well as part of a team.

Main Reception duties



Opening and closing premises Checking waiting rooms, as necessary Photocopying Opening post - distributing doctor's mail Dealing with patients face to face and on the telephone - making appointments / dealing with general queries Taking payments from patients for insurance reports and private medicals Dealing with queries from hospitals, community providers in relation to referrals and patient care Use of Emis Web, ICE, windows

Prescriptions, prescribing and medication



Answer queries from patients, pharmacists, hospital by telephone and at reception

Communications



By telephone, email and clinical system

Computer and Admin work



Accurate and timely recording of relevant objective information into clinical records
General tasks as requested by Practice and Assistant Manager

General duties



Maintenance of up to date communications (posters, leaflets, magazines etc) in waiting rooms

MOST CHALLENGING PART OF YOUR JOB



To prioritise tasks and remain calm in a busy environment, dealing with competing
demands from patients, doctors etc.

To deal competently with difficult patients.

First Aid



Participate in annual CPR training.

KEY RESULT AREAS



To deliver a quality reception service, dealing directly with patients, relatives and carers either face to face or by telephone. Reception services include general enquiries, booking or cancelling of appointments, logging of accurate information into patient medical record
1. To provide a friendly first point of contact for patients dealing with queries as appropriate.

2. Facilitating efficient lines of communications between patients and clinicians at all times, thereby ensuring the practice runs efficiently and effectively.

3. To deal with patients' requests for appointments and home visits in line with the practice's policy, booking as appropriate, thus ensuring the efficient running of the practice.

4. Extensive use of GP clinical systems and linked software to update and store data in line with practice policy to ensure records are up to date and available for clinical staff at all times.

5. Retrieval of information as required from both computer and manual systems.

6. To ensure that the reception office, waiting area and consulting rooms are kept prepared, safe and tidy at all times ensuring a safe and welcoming environment for patients, visitors and all members of the practice team.

7. To operate start and end of day procedures in line with practice policy to ensure that the premises are both prepared for the clinical staff to receive patients and are secured after use. Observe a strict code of confidentiality at all times.

8. In the absence of nurse or HCA assistance, chaperone patients in line with practice policy ensuring the smooth running of the clinical surgeries.

9. To work within the practice's agreed policies and guidelines where appropriate commenting on and contributing to changing such policies.

Person Specification



Qualifications



Essential



Good level of education.

Desirable



NVQ 2 customer services or equivalent.

Experience



Essential



Ability to operate a busy telephone system. Working within a patient/customer environment that provides quality services. General clerical experience. Working with a computer. Good keyboard skills.

Desirable



Knowledge of NHS services. Knowledge of general practice.
