: Provide administrative support to the Practice to allow the smooth and efficient running of the reception area. Plays an integral role by acting as first point of contact for patients and will routinely relay information to practice staff. The individual will ensure tasks are completed within timescales and are in line with practice targets. this will be on a rolling rota basis with Wednesday being the fixed day 8-1pm then alternate Monday & Tuesday and then rotating to Thursday & Friday the following week.
To be familiar with all systems used by the reception team to ensure appointments are booked, cancelled and amended as required.
To signpost patients appropriately.
Ensure that the day to day reception work is carried out efficiently and effectively.
Ensure medical records are filed correctly and kept in good repair.
Answer telephones in an appropriate and timely manner.
Act as initial contact for patients on the reception desk.
To be aware of protocols for dealing with an emergency within the reception area.
To deal appropriately with anxious/nervous patients.
To deal appropriately with dissatisfied patients.
To be able to cover Primary Care Service hours - between 7.40am - 6.45pm.
Adhere to Surgery Safeguarding Policy and comply with Safeguarding Flowchart directions for reporting incidents.
To add medical and other relevant codes to patient health records in accordance with practice protocol when required.
To ensure that when accessing data relating to patients, the information obtained and used is registered appropriately under GDPR 2018.
To ensure that all data held by the practice relating to the patient's health including personal identifiable information remains confidential.
To ensure that all requests for medical information about a patient from external organisations and patients family members is legitimate, complies with Access to Medical Records and other legislation, has the written consent of the patient and practice.
To comply with Health and Safety Regulations at all times and notify the Business Manager hazards or potential hazard.
The post holder shall be prepared to undertake any other delegated duties commensurate with the post.
