We are seeking a highly organised and professional Medical Receptionist to join our healthcare team. The ideal candidate will be the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role is crucial in ensuring the smooth operation of our medical facility and enhancing the patient experience.
Candidates shifts may start from 7.30am and the job role involves at least two shifts each week finishing at 7pm (depending on the needs of the practice)
Job Responsibilities:
Reception
Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
Deal with all general enquiries, explain procedures and make new and follow-up appointments.
Booking patients into appointment systems and ensuring appointment systems is monitored through the day.
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Enter requests for home visits into the home visits book/screen, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
Action repeat prescription requests and ensure that they are ready for collection by the patient within 72 hours, in line with Practice protocol.
Action clinicians' tasks for further information/patient contact information etc. (including computerised practice notes).
Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
Deal with patient requests via email.
Enter and update patient information on to the computer as required.
Prepare clinical rooms for surgeries and ensure adequate supplies of consumables (including bottles, couch rolls, test request forms etc.).
Ensure that all new patients are registered onto the computer system promptly and accurately, ensuring relevant documents are seen.
Be able to cover all reception positions as necessary
Premises:
Open premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
Make and serve refreshments for meetings, ensure the kitchen is kept clean and tidy and tidy the waiting room in turn with other staff.
Covering colleagues' holiday and sick cover as required.
Process incoming and outgoing mail according to practice protocols.
Record actions taken in patient record where appropriate or in accordance with practice protocols.
Complete other Daily/ Weekly and Monthly core tasks to support to smooth running of the reception area.
Any other administration duties as necessitated by the needs of the practice.

Overview of your organisation
Central Surgery is dedicated to improving the health and well-being of our patients. We strongly value continuity of care. We are a forward thinking practice and are often looking for ways to enhance our services. These new initiatives offer potential exciting role developments.
The surgery finished a building extension/refurbishment in 2019. This has enabled us to offer some exciting new external services into the community, as we now have 15 clinical rooms which include 2 minor op rooms.
We currently has a team that comprises of 7 Medical Receptionists, 6 Administrative staff, 9 GPs, 3 Practice Nurses, 1 Urgent Care Practitioner, 3 Healthcare Assistants, 3 Clinical Pharmacists and 3 Managers.
We are part of the Stort Valley and Villages PCN and we have a good relationship with our neighbouring practices. We jointly provide a hub service, offering additional clinics for our patients. In addition to the above team we also host clinics for the hub and work alongside their clinicians.
