Overview


To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Duties



a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. While seeking treatment patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect staff will respect their privacy and act appropriately

d. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

e. Signpost patients to the correct service

f. Initiating contact with and responding to, requests from patients, team members and external agencies

g. Organise Clinics for Minor Operations

h. Alert other team members to issues of quality and risk

i. Assess own performance and take accountability for own actions, either directly or under supervision

j. Discuss with other members of the team how the policies, standards and guidelines will affect own work

k. Reporting any potential H&S risks identified

l. Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team's performance

m. Work effectively with individuals in other agencies to meet patients' needs

n. Effectively manage own time, workload and resources

o. Read code data on EMIS WEB

p. Text patients on accurx as advised by line manager

q. Call patients for their annual recall

r. Process blood forms through ICE

s. Enter 'Carer' and 'Have a Care' data into system as appropriate

t. To have an awareness of data entry to the Open Exeter system

u. Photocopy documentation as required

v. Data entry of new and temporary registrations and relevant patient information as required

w. Input data into the patient's healthcare records as necessary

x. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

y. Check NHS Net and Outlook emails daily and action as required

z. Care Navigation to ensure patients are directed to most appropriate service

aa. Manage all queries as necessary in an efficient manner

bb. Maintain a clean, tidy, effective working area at all times

cc. Monitor and maintain the reception area and notice boards

dd. Support all clinical staff/management with general tasks as requested

ee. As required support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

Job Type: Part-time

Pay: 12.25 per hour

Expected hours: 25 per week

Work Location: In person
