Job Summary
The receptionist is the first point of contact for patients and visitors to the practice. The role is essential in providing a high-quality, patient-focused service, supporting the clinical team, and ensuring the smooth day-to-day running of the practice while maintaining strict confidentiality at all times.
Main Duties and Responsibilities Patient Services
Greet patients and visitors courteously, both in person and by telephone
Manage incoming calls, booking appointments appropriately using the clinical system (e.g. EMIS)
Handle appointment requests, including urgent and routine appointments, in line with practice policies
Register new patients and process patient change-of-details requests
Signpost patients to the appropriate service (GP, nurse, pharmacist, NHS 111, community services, etc.)
Manage patient queries, concerns, and requests in a calm and professional manner
Administrative Duties
Accurately record patient information on the clinical system
Process repeat prescription requests in accordance with practice policy
Scan, code, and file incoming clinical correspondence
Manage incoming and outgoing post
Support QOF, recall systems, and patient invitations as required
Maintain tidy and organised reception and waiting areas
Confidentiality & Data Protection
Maintain strict patient confidentiality at all times
Comply with GDPR, Caldicott principles, and practice information governance policies
Ensure sensitive conversations are handled discreetly
Teamwork & Communication
Work collaboratively with GPs, nurses, and administrative staff
Escalate concerns appropriately to senior staff when required
Attend team meetings and training sessions as requested
Support colleagues during busy periods to ensure service continuity
Health & Safety
Follow practice health and safety policies and procedures
Report hazards, incidents, or concerns promptly
Assist with infection control procedures within reception areas
Job Type: Full-time
Pay: 12.21-14.50 per hour
Expected hours: 37.5 per week
