Position Overview:



As a Receptionist/Administrator at our esteemed aesthetics clinic on Harley Street, you will play a pivotal role in ensuring a seamless and welcoming experience for our patients. This multifaceted role involves handling reception duties, managing phone calls, taking payments, addressing new patient inquiries, booking appointments, providing general information, welcoming patients, performing various administrative tasks, and assisting the senior doctor when needed.

Key Responsibilities:



Manage stock inventory, ensuring that necessary items are stocked and available. Follow and maintain checklists for daily operational tasks including opening & closing of the clinic to ensure smooth clinic operations. Handle payment processing and manage related documentation accurately. Provide a warm and professional welcome to patients and visitors as they arrive at the clinic. Assist patients with filling out necessary forms and paperwork. Answer incoming calls promptly and courteously. Respond to general inquiries and provide accurate information to callers. Address new patient inquiries via phone, email, or in-person. Offer information regarding our services, treatments, and pricing. Schedule appointments for new and existing patients, coordinating with clinic schedules. Maintain a database of new patient inquiries for tracking and follow-up purposes. Coordinate appointment timings with clinical staff to ensure efficient scheduling. Provide support and assistance to the senior doctor when required. Assist with preparations for patient consultations and treatments. Ensure the senior doctor's schedule is organised and appointments run smoothly.

Qualifications:



2 years experience in an aesthetics clinic is essential. Exceptional interpersonal and communication skills. Proficiency in office software applications and phone systems. Strong organisational abilities and the capability to manage multiple tasks efficiently. Attention to detail and a professional appearance. A patient-centric approach and a willingness to assist patients with their needs. Familiarity with Pabau is a plus.
