St Mary's Surgery is a friendly and caring GP practice located in the rural village of Timsbury, providing high-quality healthcare services to approximately 5,800 patients. Our dedicated team of GPs, nurses, administrative, and reception staff work collaboratively to deliver excellent patient care within a supportive and inclusive environment.
Job Purpose
To provide comprehensive and efficient medical secretarial and administrative support to the GPs, Partners, Management Team, Nursing staff, and the wider Practice Team. The successful candidate will play a key role in maintaining the smooth running of administrative and secretarial processes within the practice.
Key Duties and Responsibilities
Process patient referrals using the NHS e-Referral Service (ERS) and other appropriate methods.
Manage and respond to Practice tasks in a timely and efficient manner.
Monitor and maintain the surgery's generic email inbox, ensuring all correspondence is dealt with promptly.
Open, sort, and distribute internal and external post.
Scan correspondence and upload documents to patient records and GPs' mailboxes.
Type and send recall and other patient correspondence letters.
Undertake typing and administrative duties requested by members of the Primary Health Care Team.
Prepare and dispatch outgoing correspondence, including folding and enveloping signed letters.
Provide cover for colleagues' annual leave or sickness absence to ensure adequate secretarial coverage.
Handle queries from hospitals, patients, GPs, and other agencies in a professional and timely manner.
Answer telephone calls and deal with enquiries appropriately.
Maintain and update the staff holiday board weekly.
Assist with new patient registrations and related administrative processes.
Person Specification
Essential:
Previous experience as a Medical Secretary within a primary care or healthcare setting.
Proficiency in medical terminology and typing clinical correspondence.
Strong IT skills, including experience with NHS systems (e.g. ERS & Systmone).
Excellent communication and organisational skills.
Ability to work independently and as part of a multidisciplinary team.
High attention to detail and confidentiality in handling sensitive information.
Desirable:
Experience working in a GP practice.
Knowledge of local referral processes and NHS administrative procedures.
