Duties can include, but are not limited to, typing letters, processing information (electronic and hard copy) in a timely manner, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).
You'll be a touch typist, computer-literate and target-driven with a strong team ethic.
The following are the core responsibilities of the Medical Secretary. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels e.g reception:
We use EMIS and Docman and the ideal candidate will have at least 1 year GP medical secretary experience with EMIS.
1. Typing letters, reports and associated documentation as required
2. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
3. Manage all enquires (telephone, email, online) in an effective manner
4. Maintain an accurate referrals database
5. Process patient deductions
6. Scanning of patient-related documentation and attaching scanned documents to patients' healthcare records
7. Input data into patients' healthcare records as necessary
8. Process referrals using the electronic referral system (ERS)
9. Process requests for information i.e. SAR, insurance / solicitors' letters and DVLA forms
10. Answer incoming phone calls, transferring calls or dealing with callers' requests appropriately
11. Manage all administrative queries as necessary
12. Carry out system searches as requested
13. Maintain a clean, tidy, effective working area at all times
14. - Greet and check-in patients, ensuring a positive and welcoming experience
- Schedule and confirm patient appointments, coordinating with healthcare providers and staff
- Maintain patient records, ensuring accuracy and confidentiality
- Answer phone calls, respond to inquiries, and provide information to patients and visitors
- Assist with insurance verification and billing processes
- Coordinate referrals to other healthcare providers or specialists
- Manage medical office supplies and inventory
- Perform general administrative tasks such as filing, faxing, and scanning documents

- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both verbal and written
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, Outlook)
- Attention to detail and accuracy in data entry and record keeping
- Ability to maintain confidentiality of sensitive information
- Knowledge of medical terminology and procedures is a plus
