The Blackheath Standard Surgery is a local well established family practice. The practice is situated in a pleasant part of Blackheath in South East London with good transport links and local shops. We are committed to providing a high standard of care under the NHS and are part of the Blackheath and Charlton Primary Care Network to offer access to a wide range of healthcare professionals. The clinical team comprises of 2 GP Partners, 3 Salaried GP's, Practice Nurses and HCA's. Clinical Pharmacist, Physiotherapists, Mental Health Workers and Social Prescribers. The team is supported by a admin team comprising of Medical Secretaries, Receptionists and Care Navigators. Our current CQC rating is "Good"

Summary



Blackheath Standard PMS are seeking a dedicated and detail-oriented Medical Secretary to join our practice. The position is for 20 hours per week, over four days, (Mon, Weds, Thurs, Fri) this can vary, depending on the needs of the practice during sickness and annual leave. Flexibility is essential. The ideal candidate will be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS). This position requires excellent organisational skills, a strong understanding of office procedures, and the ability to communicate effectively with both patients and healthcare professionals.

In this role, you will be essential in managing administrative tasks and supporting the healthcare professionals in delivering exceptional patient care. This position is vital for maintaining efficient operations within our surgery.

Responsibilities



Duties will include: Typing letters, reports and associated documentation as required (have an understanding the Lexicon system) Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently, Manage tasks to secretary inbox in an effective manner. Maintain an accurate referrals database. Action all incoming emails to the Blackheath Standard inbox. Scanning of patient related documentation and attaching scanned documents to patient's healthcare records. Input data into the patients' healthcare records as necessary. Process referrals using the electronic referral system (ERS). Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms. Answer incoming patient queries relating to referrals manage all administrative queries as necessary. Maintain a clean, tidy, effective working area at all times. Support all clinical staff with general administrative tasks as requested and record the minutes of meetings

Requirements



Proven experience in an administrative role, preferably in a healthcare setting. Strong organizational skills with attention to detail. Excellent communication skills, both written and verbal. Ability to handle sensitive information with discretion. Familiarity with EMIS, Docman and AccuRx software and medical terminology is advantageous.
