We are a welcoming, semi-rural GP practice with a fantastic and friendly team and were excited to be recruiting a new member to join our secretarial department.

  • Salary: Starting from 12.21to 12.76 per hour, depending on experience
  • Contract Type: Permanent
  • Working Pattern: Full-time (preferred)
  • Hours: 37.5hrs per week (Monday - Friday 9am-5pm) with occasional Saturdays where required
  • Annual Leave: 6 weeks per year (inclusive of bank holidays)
Main duties of the job
As a General Practice Secretary, you will provide comprehensive administrative and secretarial support to GPs and other healthcare professionals. Your key duties will include:
  • Providing accurate and efficient audio and copy typing services, including letters, reports, referrals, and meeting minutes.
  • Processing referrals and advice & guidance requests through the e-Referral Service (ERS), including urgent two-week-wait cancer referrals, and managing rejected referrals appropriately.
  • Handling Subject Access Requests (SARs) and supporting the completion of medical and insurance reports.
  • Processing medical reports and invoices, and assisting with payments and record-keeping.
  • Maintaining accurate spreadsheets and electronic records within EMIS Web, ensuring confidentiality and data protection compliance.
  • Supporting the achievement of Quality and Outcomes Framework targets and accurate clinical coding.
  • Monitoring and managing the secretary mailbox, responding to emails.
  • Liaising with hospitals, community services, outside agencies, and patients to coordinate effective communication and follow-up.
You will also contribute to wider practice activities, including:
  • Assisting with meetings, minute-taking, and general administrative organisation.
This is a varied and fulfilling role requiring excellent communication, prioritisation, and problem-solving skills, with the ability to use initiative and work effectively as part of a team.

  • Previous experience in a medical secretarial or administrative role, ideally in a healthcare setting.
  • Proficiency in EMIS Web, Docman, AccuRx and Microsoft Office applications.

  • Ability to maintain confidentiality and manage sensitive information appropriately.
