Jacobs Clinic is a private ADHD and addiction clinic based in Manchester providing services both privately and on behalf of the NHS. We are looking for a medical secretary to join our team. The ideal candidate will be able to work independently and as part of a team. They will be self-employed and will work from home with occasional attendance face to face in at meetings. The candidate must be able to maintain confidentiality and work in a fast-paced environment. The Medical Secretary plays a key role in ensuring that patients receive excellent customer service. The responsibilities of the medical secretary will include:



Answering telephone calls and providing information to patients and staff

Scheduling appointments and managing patient calendars

Maintaining patient electronic records and filing systems

Typing clinical letters generated by clinicians and ensure timely transmission to patients and GPs (no audio-typing will be required)

Generating pre-appointment forms for patients and ensure return receipt prior to the appointment with the consultant.

Processing prescriptions generated by consultants and ensure timely delivery.

Responding to all email enquiries including those from patients (both NHS and private).

Generating invoices for private patients and ensure payment in advance of their booked appointment.

Liaising with patients, pharmacies and GPs

To be aware and operate within NHS and legal requirements to maintain patient and data confidentiality.

Maintaining confidentiality of patient records

Qualifications:



GCSE Maths and English (C or above)

Experience:



Experience of administrative duties

A minimum of two years' experience of working in a health care setting as a medical secretary or receptionist.

Skills:



Excellent written and verbal communication skills

Clear and polite telephone manner

Good IT and keyboard skills with good working knowledge of email and Microsoft Word.

Excellent time management (Planning and Organising)

Ability to work independently and as part of a team

Strong attention to detail and ability to maintain confidentiality

Ability to follow policy and procedure

Work Environment:



Remote work environment with occasional attendance face to face meetings at Sale, Salford or Macclesfield.

To work between the hours of 1pm to 5pm (Monday to Friday) and occasionally answer phone calls to Jacobs Clinic during the hours of 9am to 1pm with prior notice.

Attend Jacobs Clinic meetings as required.
