Job Summary To provide secretarial and administrative support to the Practice. Main responsibilities To provide a high standard of word processing for all clinicians. To provide accurate typing of letters, referrals and reports for all clinicians. Administration and monitoring of e-RS, RSS referrals.
Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently. Assist clinicians in the referral of patients to secondary care services. Supporting all clinical staff with general administrative tasks, where required. Managing administrative, email and telephone queries, taking and relaying messages in a polite and helpful manner.
Keep up to date with changes in referral systems and new proformas by reading e-mails and attending training courses. Ensure urgent referrals are dealt with efficiently and promptly and contain all relevant information. Ensure tasks and work-flowed items are acted upon. Ensure correct proformas are being used by clinicians for referral processes.
Attend Practice Learning Events to keep up to date with any changes to systems and procedures. To undertake other duties as may be required from time to time. To work flexibly as part of a team, working extra hours as required. To cover for colleagues due to absence or sickness.
Maintain a clean, tidy, and effective working area at all times. Any other duties as delegated by the management team. The above constitutes the main responsibilities of the post and may be subject to change, to meet the needs of the Practice. Any changes will be discussed prior to implementation, wherever possible.

They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately In the performance of the duties outlined in this , the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
A Disclosure and Barring Service (DBS) check (previously CRB check) will be undertaken as a matter of course. Undertake mandatory and statutory training as required.
