Job Description

Based in the department of Sexual Health & HIV at Denmark Hill; the post holder will

work closely with the Service Delivery Manager and Rota Specialist Registrar (SpR)

with rota management for the MDT and on-call rotas. The post holder will provide

operational support related to activities on resourcing tasks, training and

recruitment.

The post hold will also be the team leader for front of house team based at Caldecot

centre. Supervising the work of the team ensuring it operates efficiently and

effectively whilst providing a high standard of customer care to patient and visitors.

The nature of the job requires the post-holder to deal with confidential and sensitive

information related to both staff and patients. The post-holder will ensure this

information is kept confidential and secure in line with Trust policies.



Lead on the coordination and management of medical staffing rotas, ensuring safe staffing levels to

meet clinical demands.

Manage the end-to-end recruitment process for medical staff, including advertising, shortlisting,

interview coordination, and onboarding, in collaboration with HR.

Maintain accurate and up-to-date records for all medical staff including contracts, honorary

agreements, compliance checks, appraisals, and mandatory training.

Ensure timely and accurate data entry into Electronic Staff Record (ESR) and rostering systems (e.g.,

HealthRoster).

Liaise with internal and external locum agencies to ensure service continuity, negotiating rates to

achieve cost-effectiveness.

Manage junior doctor rotations, coordinating induction and exit processes with Medical Education. Manage and monitor leave requests, sickness absence, and support policy adherence. Work with divisional and corporate teams to ensure compliance with GMC revalidation and appraisal

processes

To be responsible for populating monthly MDT rota template in advance, for

input by Rota SpR and other clinical staff.

To produce the monthly HIV on-call and out of hour's rotas. To coordinate training schedules for external trainees, rotating into the sexual

health clinic.

Submitting data to medical workforce on how many trainees received their

duty roster 8 or more weeks in advance of starting in /rotating to a new post.



Coordinating external nursing, medical and DFRSH

trainee's schedules within the clinic throughout the

year.

Setting up local level inductions for all new trainees. To monitor and track annual/study leave usage against leave requirements to

ensure a sustainable level of cover across the service.

Supporting the Service Delivery Manager in building and checking rotas

through the relevant rota management system (Currently DRS4/Allocate.)

To assist the Trust Medical Workforce in the absent of the Service Delivery

Manager with data request.

To create via the bank partners system locum shifts and to update any

changes to booking appropriately.

Approving bank/agency timesheets to ensure payment of shifts are

authorised on time.

Ensure all new starters have the right IT system and security access in place to

hit the ground running.

To produce reception team rotas and ensure that all clinics have sufficient

reception cover.
