As the Meetings & Events Sales Coordinator, you will be the first point of contact for clients enquiring about meetings, weddings, social events, and private functions. Your role is to handle incoming enquiries, convert leads into confirmed bookings, and support the delivery of seamless and memorable events. With a keen eye for detail, strong customer service skills, and a sales-focused approach, you'll help maximise revenue and ensure client satisfaction.
Key Responsibilities:
Sales & Enquiry Handling
Respond promptly and professionally to all incoming enquiries via phone, email, and online platforms.
Prepare and send tailored proposals, quotations, and contracts in line with brand standards.
Follow up on open enquiries to drive conversion and maximise event revenue.
Upsell additional products and services to enhance the client experience and increase spend.
Maintain accurate and detailed client records and update the booking system regularly.
Event Planning & Coordination
Work closely with clients to understand their event requirements and guide them through the planning process.
Produce function sheets and event summaries with clear instructions for operational teams.
Coordinate with internal departments (F&B, kitchen, housekeeping, AV) to ensure smooth delivery of each event.
Support the Supervisor in conducting client show rounds and pre-event meetings where required.
Administrative Support
Ensure all bookings and communications are logged accurately in the events diary and CRM system.
Assist with invoicing, payment tracking, and post-event feedback collection.
Contribute to departmental reporting and help monitor key metrics like conversion rates and enquiry levels.
Maintain knowledge of hotel facilities, packages, and local competition.
Skills & Experience Required
Previous experience in a customer-facing, sales, or event coordination role (hospitality or hotel experience preferred).
Excellent written and verbal communication skills.
Strong organisational skills and the ability to manage multiple enquiries and deadlines.
Proficient in Microsoft Office and hotel booking/event software (e.g., Opera, Delphi, or similar).
Friendly, professional, and confident when dealing with clients and colleagues.
A commercial mindset with a passion for delivering results and exceeding client expectations.
Flexibility to support events during evenings or weekends if required.
