The International Wire & Machinery Association (IWMA) is a global trade association representing companies across the wire and cable industry. We are looking for a highly organised, proactive and reliable
Membership & Office Operations Coordinator
to play a key role in the smooth day-to-day running of our office and to support our members, exhibitions and events.
This is a varied and rewarding role, and we are open to
either part-time or full-time applications
. We are looking for the right person, and working hours can be agreed flexibly between
20 and 37.5 hours per week
to suit the successful candidate.
Key ResponsibilitiesMembership Administration
Manage the full onboarding process for new members
Maintain accurate membership records, including renewals, payments and cancellations
Produce monthly membership reports for the Executive Manager and quarterly reports for the Board
Issue membership invoices and renewal documentation and professionally chase outstanding payments
Maintain and update all member information in
Buddy CRM
, ensuring accuracy at all times
Continuously review member data, adding new contacts for the Marketing Team and ensuring correct company details and logos are used across IWMA platforms
Ensure the online membership directory is always accurate and up to date
Support updates to the printed Membership Directory
Send out IWMA's annual Membership Survey and collate responses into a structured report
Exhibitions, Events & Awards
Maintain an up-to-date log of all IWMA Members exhibiting at wire exhibitions for marketing, engagement and contact purposes
Generate and circulate the official
IWMA Member Exhibitor List
ahead of each relevant exhibition
Support the Executive Manager with IWMA Pavilion administration
, assisting with exhibitor communications, coordination and administration, including:
Sending exhibitor confirmations
Issuing invoices
Sharing key deadlines
Circulating booking communications for stand extras
Send post-exhibition surveys to exhibiting members and collate responses for internal review
Handle communications with
Wire Education Award recipients
and
Young Employee of the Year Award recipients
, maintaining accurate internal records
Assist with the preparation and delivery of UK events
Coordinate exhibition stock and materials from the office and storage unit
Attend
wire Dusseldorf
international exhibition as required
Support packing, logistics and general event administration
Office & Administration
Monitor the

chairman@
inboxes, responding or forwarding enquiries appropriately
Book meeting rooms and hotel accommodation for meetings and exhibitions
Manage hotel rooming lists, including re-invoicing where required
Maintain oversight of office and external storage, ensuring organised and logged inventory
Answer the main office telephone and greet visitors professionally
Receive, log and distribute office deliveries and post
Maintain office stock levels and reorder supplies as required
Set up meeting rooms for in-house meetings
Accounting Support
Upload bills to Xero for payment approval
Generate invoices when required
File and manage paper receipts and financial documentation
About You
Highly organised with excellent attention to detail
Confident managing multiple tasks and priorities
Strong written and verbal communication skills
Comfortable working with databases, spreadsheets and CRM systems
Professional, proactive and able to work independently
Experience in an administrative, membership, association or events role is desirable
