The Mileage Administration Team Leader is responsible for ensuring that the reconciliation and coding of lost mileage and associated tasks is carried out in a timely and efficient manner by the central team of administration assistants, to support the operation of the garages and to meet the stringent quality standards required by the customer.
Provide the garage and senior management teams with performance information as required and act as a key contact for Transport for London's Mileage Monitoring Team.
The Team Leader is responsible for supervising the administration team, including coordinating and delegating their daily/weekly tasks and activities. They will work with the Garage Managers and their Operations Managers and Engineering Managers, who are locally accountable for mileage performance, to ensure all the administration requirements are fulfilled.
Main Responsibilities:
Oversee the day-to-day running of the team to meet the weekly fixed MTV submission deadlines and code mileage where required
Coordinate the workload of the administration team, ensuring timely and accurate processing of lost mileage, adapting to changes in staff availability and volume of lost mileage by route or garage
Monitor productivity and progress towards deadlines throughout the week by interrogating the MTV system
Maintain the accuracy and correctness of the mileage submissions by auditing the work of the administrators so that it meets the rigid standards of Transport for London, inclusive of sample checks before submission and regular full audits
Ensure legal and contractual compliance in line with prevailing customer requirements and prevailing legislation
Uphold compliance with the Company's ISO:9001 accreditation and associated work procedures and Quality standards
Act as Metroline's point of contact for Transport for London's Mileage Monitoring Team to deal with enquires about mileage coding, Workaround Communicatons and updates to procedures
Coordinate and deliver training for all administration staff in the team
Ensure that appropriate health and safety standards are maintained within their area of responsibility, raising issues to the Garage Manager which may have an adverse effect on the health and safety of staff or other third parties
Manage the allocation of holidays for the administration team to ensure that adequate cover is provided to meet deadlines
Undertake performance appraisals and conduct informal disciplinary or capability meetings if necessary
Support the Service Delivery Audit Manager with preparation for internal and external audits and act upon any audit recommendations
Carry out various ad hoc tasks, projects and additional duties as required by the business.
Desirable and Essential Criteria:
Must have extensive experience in reconciling lost mileage and using the MTV system to a high standard (Essential)* Must have extensive experience in utilising the Hyperion reporting suite and preparing mileage data/reports for management (Essential)* Ability to examine and input data with a high level of accuracy (Essential)* Ability to inspire, lead and develop a diverse team (Essential)* Ability to use initiative and identify solutions when a problem or difficult situation arises;
Exceptional interpersonal skills with a natural flair of providing support and guidance and going 'the extra mile';
Ability to manage own workload effectively, prioritise and work to deadlines;
An understanding/appreciation of the service requirements and the management of day-to-day operational issues;
Excellent oral and written communication skills
Hours of Work
38 hours per week, Monday-Friday
