The Nurse Personal Assistant (PA) will play a key role in supporting the nursing and clinical teams to ensure the smooth and efficient running of practice operations. The role involves providing comprehensive administrative and coordination support to the Lead Nurse, ensuring timely management of clinical tasks, effective communication with patients, and seamless organisation of nurse-led services across both practice sites.
The Nurse PA is integral to maintaining high standards of patient care by ensuring that all nursing administrative processes are accurate, efficient, and well-coordinated.
Main Duties and Responsibilities
1. Task Management and Communication
Manage incoming EMIS tasks assigned to the Nurse PA, ensuring:
Monitor and track all outstanding tasks daily to ensure deadlines are met.
Maintain clear communication with task senders and provide updates as needed.
2. Clinical Administration Support
Book, rearrange, or cancel nurse-led clinics and appointments.
Manage and update clinical diaries.
Add clear and accurate test requests to ICE when instructed.
Manage and update waiting lists for clinics such as, Spirometry.
Maintain and update the "What Nurses Do" spreadsheet.
Support in managing nurse team annual leave, sickness records.
Assist with the organisation of monthly nurse meetings (agendas, minutes, and logistics).
Arrange training sessions, appraisals, and recruitment activities for the nursing team.
3. Equipment and Stock Support
Assist the Managing Director and Lead Nurse with the coordination of medical equipment maintenance, calibration, and repairs.
Support the Infection Control Lead with documentation, audits, and admin tasks.
Ensure practice Patient Group Directions (PGDs) are up to date and signed by the relevant staff.
4. Patient Communication and Support
Communicate clearly and sensitively with patients regarding appointments, results, and clinical information, ensuring accuracy and reassurance.
5. Team Coordination and Meetings
Work closely with the Lead Nurse and practice management to ensure smooth coordination of nursing services.
Attend regular meetings with the Lead Nurse for planning and updates.
Contribute to continuous improvement of processes and documentation (including SOP development).

Knowledge, Skills, and Experience
Essential:
Proven administrative experience in a healthcare or clinical setting
Excellent communication and organisational skills
Ability to manage a varied workload and meet deadlines
High attention to detail and accuracy
Proficient in EMIS or similar clinical software systems
Professional and empathetic telephone manner
Comprehensive IT skills
Desirable:
Experience working within a GP practice or NHS environment
Knowledge of infection control procedures and medical terminology
Understanding of patient confidentiality and data protection requirements
