Reports to: Nursery Directors

Location: Eco Babe Private Day Nursery, Sale Town Centre

Hours: Full-time (Monday-Friday, flexible hours within 8am-6pm)

Eco Babe Private Day Nursery is an award-winning early years setting in Sale, providing immersive, child-led care and education within a sustainably designed environment. Our approach celebrates curiosity, independence, and emotional regulation, with a focus on environmental awareness and authentic experiences.

With two adjoining sites and an expanding provision, we are seeking a proactive and organised Nursery Administrator to support the Directors and Management Team in the day-to-day running of our setting.

Purpose of the Role

To ensure the smooth and efficient administration of the nursery, supporting leadership with operational tasks, communications, and compliance. This role is vital in enabling the directors to focus on strategic development by managing key systems, documents, and parent-facing processes with accuracy and care.

Key Responsibilities

Administrative & Operational Support

Manage nursery email inboxes, correspondence, and parent communications professionally and promptly. Maintain accurate child records, attendance, and documentation using digital systems (e.g., Famly) Support the management team with staff rotas, training records, and absence logs. Ensure all regulatory documents (policies, risk assessments, insurance, certificates) are up to date and filed correctly. Manage office supplies, stationery, and resource ordering in line with budgets. Maintain digital file structures and ensure confidentiality and GDPR compliance. Support directors with scheduling, diary management, and meeting notes.
Finance & Funding Administration

Liaise with parents regarding invoices, payment queries, and funding information. Support debt recovery communication under director guidance.
Compliance & Quality

Assist with Ofsted and Local Authority compliance documentation. Maintain staff training records and renewal logs (first aid, safeguarding, food hygiene). Support completion of internal audits, room development plans, and policy updates. Manage confidential records and ensure data security in line with GDPR.
Parent Relations & Marketing

Support social media scheduling and drafting of newsletters or parent communications. Help coordinate open days, parent events, and promotional materials. Collate parent feedback and update testimonials and marketing boards.
Person Specification

Essential:

Strong administrative and organisational skills. Excellent written and verbal communication. Confident using IT systems (Word, Excel, Canva, management software). Ability to manage multiple tasks with accuracy and attention to detail. Discreet, professional, and committed to confidentiality. Team player who enjoys supporting others and improving systems.
Desirable:

Previous experience in an early years, education, or regulated setting. Understanding of EYFS, funding processes, or Ofsted compliance. Experience with digital marketing or social media scheduling tools.
