The Role
We're looking for a motivated and organised Office Administrator to support our reactive maintenance team. You'll be responsible for coordinating jobs, managing paperwork, liaising with engineers and clients, and ensuring smooth day-to-day operations within the office.
This is an office-based role with flexibility to work from home when needed.
Key Responsibilities
Logging incoming reactive maintenance calls and job requests
Scheduling and allocating works to engineers using internal systems
Liaising with clients and suppliers to ensure timely completion of tasks
Preparing and issuing job sheets, purchase orders, and completion reports
Assisting with invoicing, timesheets, and cost tracking
Maintaining accurate electronic and paper records
Supporting the contract manager with administrative and reporting duties
Ensuring compliance with health and safety and company procedures
Essential Skills & Experience Required
Previous experience in an administrative or scheduling role (maintenance or facilities management preferred)
Strong communication and organisational skills
Confident using Microsoft Office and job management software
Ability to prioritise workload in a fast-paced environment
A proactive and team-focused attitude
