Job Overview



We are seeking a proactive, organised, and detail-oriented individual to join our team as an Office & Administrative Support Assistant. This role is key in supporting our office's daily operations, assisting both finance and people functions, and ensuring an efficient, welcoming work environment. You'll also provide vital administrative support to the People & Risk Manager.

Key Responsibilities



Administrative Assistance for People & Risk Manager:

Coordinate diaries and support meetings. Assist with onboarding, induction pack preparation, and personnel record management. Support with internal communication initiatives and compliance processes. Help maintain accurate and up to date HR and training documentation. Support the booking of internal and external training. Perform document handling and secure file organisation.
Support to Finance & Operational Admin:

Match and process invoices using Datamolino and Xero. Maintain CIS and payroll location records and related logs. Assist with internal sales journals, PPE usage tracking, and document reconciliation. Support finance data entry and operational admin tasks as needed. Answering sales calls and placing orders agreed by the management team.
Office & Facility Operations:

Perform daily checks on kitchen, communal, and office facilities. Monitor consumables and stock supplies (refreshments etc). Manage the cleaning and other office subcontractors. Perform regular coffee machine cleaning and maintenance. Coordinate with team members to ensure smooth delivery and collection of PPE. Keep shared areas tidy and compliant with health and safety standards. Check first aid kits, fire extinguishers, and safety signage. Handle ad hoc office errands and assist with internal logistics.

Skills and Attributes



Strong organisational and time management skills High attention to detail, especially in handling documentation and logs Confidence using Google Workspace, and comfortable with learning new web based systems A collaborative team player with initiative and flexibility Effective communicator with professionalism and discretion

Desirable Experience



Experience in office administration, HR or finance support Familiarity with digital finance tools and HR systems Prior involvement in health & safety or compliance-related environments
