Job Overview


We are seeking a detail-oriented and proactive Office Administrator to join our team. The ideal candidate will possess strong organisational skills and a keen eye for detail, ensuring the smooth operation of our office environment. This role involves a variety of clerical and administrative tasks, including data entry, managing office supplies, and providing excellent phone etiquette. Proficiency in Google Suite and QuickBooks is highly desirable.

Responsibilities



Perform data entry tasks accurately and efficiently, maintaining up-to-date records. Organising directors diary Job booking Organise and manage office supplies, ensuring availability for staff. Handle incoming calls with professionalism, providing information and assistance as needed. Support administrative functions by preparing documents, reports, and correspondence. Maintain an organised filing system for both physical and digital documents. Assist in the coordination of meetings and appointments, ensuring all logistics are handled smoothly. Collaborate with team members to improve office processes and efficiency. Utilise QuickBooks for basic financial record keeping and invoicing. Accreditation and compliance admin Implement and maintain organisational systems to streamline office procedures and enhance productivity.

Requirements



Proven experience in an administrative or clerical role is preferred. Strong organisational skills with the ability to prioritise tasks effectively. Proficient in using Google Suite applications (Docs, Sheets, Drive) for daily tasks. Familiarity with QuickBooks is advantageous but not essential - Training can be provided. Excellent phone etiquette and communication skills, both written and verbal. Ability to work independently as well as part of a team in a fast-paced environment. Attention to detail with a commitment to maintaining accuracy in all tasks.

What we are looking for



Proven experience in an administrative or operations management role is essential (construction experience is a big plus) Positive, enthusiastic, and self-motivated individual. There may be times where you are in the office on your own so being self-motivated and off your own initiative is essential. Confident communicator - excellent phone etiquette and communication skills, both written and verbal. Strong organisational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail. Ability to work independently as well as part of a team, demonstrating leadership qualities where needed. Able to handle pressure and the occasional tricky customer Willing to learn and grow with the business and be a key contributing team member Looking for a long-term role with room to develop into other areas of the business
A 8-week probation period will commence on acceptance of a job offer. Full on-the-job training will be provided with this role as well as all equipment required to carry out these duties. Driving is required for this role due to the location of the offices.
