Office Administrator
to support our daily operations and help drive efficiency across the business.
The Role
This is a key role within our growing company. You'll work closely with the Director, bookkeeper, and field teams to coordinate daily activities fostering a collaborative work environment , manage client communications, and maintain smooth administrative operations. You'll need to be confident handling multiple tasks, working with systems such as Google Workspace, QuickBooks, and Microsoft Office Suite (word, Excel etc)
Key Responsibilities
Manage company emails on a daily basis and incoming phone calls in a professional manner
Collect and organise information, reports, and client documentation
Create and maintain job cards for inspections, installations, and remedials
Follow up on estimates and quotations, converting them into confirmed jobs
Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking
Schedule calendar entries and appointments for contractors and site visits
Maintain accurate data entry and digital filing within company systems
Support reporting and document organisation for compliance and audits
Learn and follow in-house Standard Operating Procedures (SOPs)
Assist with other administrative tasks as required by the management team
Must have previous clerical experience
Skills & Experience
Proven experience in an administrative role (fire safety background advantageous)
Excellent organisational and time-management skills
Strong communication and customer-service skills
Competent with Google Workspace (Gmail, Drive, Docs, Sheets)
Basic understanding of QuickBooks
Confidence using cloud-based systems, calendars, and digital workflows
Ability to learn internal systems and processes quickly
Attention to detail and a proactive approach to improving efficiency
