Administrative Assistant
to support our property management and compliance operations.
Key Responsibilities
Provide administrative support to the housing and property management team
Handle incoming queries from tenants, support workers, housing officers, and partner organisations
Maintain accurate tenant records, tenancy agreements, and compliance documents
Prepare and issue tenant correspondence, including rent statements, arrears letters, and notice documents
Monitor and track property compliance (e.g. gas safety, EICR, fire risk assessments), liaising with contractors as needed
Assist in organising property inspections and follow-ups on repairs or safeguarding concerns
Log maintenance issues and coordinate with contractors to ensure timely resolutions
Maintain and update internal systems (e.g., housing management software)
Support with rent collection administration and arrears reporting
Assist with preparing reports and documentation for partner housing associations or local authorities
Provide general office support including post handling, filing, and stock control
Requirements
Previous experience in a housing, property management, or social care environment (desirable but not essential)
Strong administrative and organisational skills
High level of accuracy and attention to detail
Compassionate and professional communication, particularly when dealing with vulnerable tenants
Strong IT skills, including Microsoft Office (Word, Excel, Outlook)
Ability to manage sensitive and confidential information appropriately
Understanding of safeguarding, data protection, and housing regulations is an advantage
Experience using housing management systems (e.g., Pyramid, Qube, or equivalent) is desirable
