We are looking for a dedicated and detail-oriented Office Administrator to join our care company. The ideal candidate will be highly organized, possess strong phone etiquette, and have experience in administrative tasks to support our team in providing exceptional care services. This role is essential for managing daily office operations, maintaining accurate records, and offering clerical support to ensure our office functions efficiently. Proficiency in Google Suite and QuickBooks is a must for handling data entry, invoicing, and other essential tasks.
Responsibilities
Handle incoming calls and correspondence with professionalism, ensuring clear and compassionate communication with clients, families, and team members.
Organize and maintain a well-structured filing system for both physical and digital documents, including client records and company files.
Perform accurate data entry to ensure all client, employee, and service records are up to date and easily accessible.
Support bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial reporting.
Monitor and manage office supplies, placing orders to ensure essential items are available for the care team's needs.
Provide administrative assistance to care managers and other team members, including scheduling meetings, managing calendars, and preparing necessary documentation.
Create and format reports and presentations using Google Suite (Docs, Sheets, Slides) as required.
Assist with onboarding new employees, preparing and organizing documentation to support their integration into the team.
Qualifications
Experience in office administration, particularly within a healthcare or care services setting, is preferred.
Strong organizational skills and ability to manage multiple tasks in a fast-paced environment.
Excellent communication skills, both written and verbal, with a compassionate approach when handling sensitive client information.
Proficiency in Google Suite and QuickBooks, with familiarity in clerical duties like filing, data entry, and record keeping.
A proactive, detail-oriented attitude, with a problem-solving mindset.
Ability to work both independently and collaboratively within a team environment.
