The role of the Office Administrator is pivotal to the success of the Centre Management operation as this person will need to ensure that there is close liaison and communication with residents, contractors and key departments within Savills.
Responsibilities
Provide day to day support to the team in all manner of things including contacting residents and businesses.
Liaising with tenants on maintenance issues and organising timely repairs if applicable and requested by the Centre Manager.
Assisting with general administrative tasks to support the team.
- Invoice processing - coding and checking the correct amounts ensuring a high level of attention to detail.
Maintain and update training documentation on systems
Ensure files are kept up to date.
Act as a contact for tenants and contractors for a range of issues
Provide systems support including Eidos, Door Entry systems, Car Park Entry System, Data Station.
Maintain records and generate reports (paving reports, marketing, quotes etc)
Arrange contractor visits
Ensure correct contact details are being held for businesses and residents.
Respond to resident queries regarding any matter brought to attention through email, calls and face to face.
Attend meetings as and when required to further enhance knowledge of systems and protocols or to take notes of the meeting.
Liaising with other Savills departments.
Supporting the Centre Manager with the planning, implementation and monitoring of marketing activity.
Supporting the planning and execution of events and taking ownership of the creation of new events.
Assisting or managing the coordination of marketing and event calendars
Support events and marketing opportunities that are brought to our attention and enhance the Square as much as possible.
Create event management plans and ensure correct documentation is being held for event artists.
Assist in the tracking of marketing budgets, obtaining quotes.
Assisting with the creation and briefing of branded marketing materials
Produce social media content (content creation)
Meet businesses and ensure details are up to date.
Updating and maintaining the Brewery Square website

Working Hours - 9am to 5.30pm
Salary - 26,130 to be reviewed after satisfactory completion of six month probation period.
