Are you ready to embark on an exciting journey in the field of school-based office.
We are seeking an enthusiastic and dedicated individual to join the administration team and Bottisham Community Primary School. This will allow the opportunity to work alongside a flexible, inclusive school team. Reporting to the Headteacher you will have a varied workload where no one day is the same. As a member of the core administration team you will deliver a seamless administrative service to support the effective & efficient running of the school.
Duties and responsibilities
General Administration
Create an effective, professional and welcoming environment for all visitors to school Support the administration of the School Information Management System (Bromcom/My Child At School)
Deal efficiently and comprehensively with correspondence: telephone calls, emails or post.
Providing timely and effective support to the Headteacher and the leadership team, ensuring confidentiality of sensitive information.
Support the Office team to ensure that statutory requirements in terms of returns, attendance, record keeping, data protection, health and safety are met and adhered to.
Support the Office team to oversee the administration of procedures for managing and recording all necessary pupil data and information.
Support the Office Manager to oversee the preparation and submit the annual workforce census and any other census requirements within the required timeline.
Assist with managing the school's email inbox, ensuring the school meets its expected response times and emails are forwarded to the relevant staff member as necessary.
Manage and organise completed forms from parents.
Report any issues with the school's IT systems.
Provide administrative support to staff as needed.
Carry out filing, printing and photocopying.
Assist with organising parents' evenings and other meetings and events, including the organisation of rooms and equipment, and providing refreshments as required.
Keep records in accordance with the school's record retention schedule and data protection law, ensuring information security and confidentiality at all times.
Monitor and maintain an accurate record of pupil attendance, producing reports as necessary.

Monitor the late arrival of pupils and contact parents/carers to identify reasons for non-attendance, ensuring all safeguarding procedures are followed.
Check registers for absentees and make first day response calls ensuring records of such conversations are kept.
Provide weekly analysis of absence in line with the Headteacher's requirements and in preparation for Educational Welfare Officer visits. Work with the Headteacher to ensure that statutory letters are sent to parents when the relevant triggers have been met.
Safeguarding
Work in line with stator safeguarding guidance (e.g Keeping Children Safe in Education, Prevent) and out safeguarding and child protection policies.
Promote the safeguarding of all pupils in the school Read and follow the relevant school policies.
Undertake training required to develop in the role.
Contributing to the effective running of the school by:
Supporting the oversight and administration of projects if required by the head teacher.
Promoting the school within the community, developing mutually beneficial links between the school and other organisations, for the benefit of staff, governors, pupils and families within the school and the local community.
Liaising with colleagues in similar roles across Anglian Learning academies to develop and share effective practice.
Any other duty commensurate with the post as directed by the Headteacher
Requirements (Essential):
First aid training (or willingness to complete it).
Carrying out administrative tasks.
Good oral and written communications skills.
Ability to respond quickly and effectively to issues that arise.
Ability to plan, organise and prioritise to meet deadlines Ability to use own initiative and take action accordingly.
Excellent attention to detail.
Ability to use IT packages including word processing, spreadsheets and presentation software Ability to use relevant office equipment effectively.
