MGY is looking for an organised and consientious individual who can support the sales and rental team with day to day administrative tasks at our Birchgrove Branch in Cardiff and support the Branch Manager and Directors when required.
This role will involve updating and managing our property management system, providing customer service support, undertaking general day to day administration duties and updating and managing property sales / rental materials.
We are ideally looking for someone with previous experience within an office based role or with transferable skills. They will have great interpersonal skills, IT skills and experience of organisation and general office administration.
Duties and responsibilities
Welcoming and assisting new prospective buyers, clients or tenants.
Providing customer service support to existing buyers, clients or tenants.
Dealing with queries via email and telephone.
Answering the branch telephone and filtering calls to the appropriate team member or Branch.
Registering new applicants onto our property management system.
Booking viewings and property valuations and recording the information onto the property management system.
Updating and creating brochures.
Uploading photos to the property management system and files.
Uploading and recording EPC's and floorplans.
Preparing window cards for the branch.
Updating and managing mailing lists.
Providing general day to day administration support to the Branch Manager, Directors and team members.
Undertaking general day to day administration duties within an Estate Agent office.
Any other duties that may be required in addition to or instead of the ones listed above dependant on the operational needs of the business.
Essential skills and experience
Experience of working within an office environment.
Knowledge and experience of using computer software systems to input and manage data.
Experience of using Microsoft Word and other software programs.
Can confidently write emails and respond to queries.
Confident in answering telephone calls.
Experience of working within a customer service / sales / retail role.
Organised.
Great interpersonal skills.
Great communication skills.
Confident in undertaking multiple tasks at the same time and managing own workload.
Confident in dealing with members of the public in a professional and polite manner.

Desirable skills and experience
Experience of working within an estate agent office / branch.
Experience of working as an Office Administrator.
Experience of working with Jupix or property management software.
Hours and environment
Your normal working hours will be 22.5 hrs per week on Monday, Tuesday and Wednesday 9am to 5.30pm with a 1-hour lunch break. You will be working in an open office / retail store front.
