The Administrator will provide support to the Finance & HR Director by taking on allocated HR administration tasks. Maintain up to date HR records using paper and electronic systems across three businesses. Provide appropriate HR cover when Finance & HR Director is unavailable. Support the MD with office administration , events and ad hoc tasks. An interest in HR would be beneficial and could lead to career growth. It is a varied and fast paced role which requires strong communication skills both internally and externally. The ideal candidate will possess exceptional administrative skills with the ability to work on multiple projects to support both functions whilst appreciating the need for confidentiality. This role will involve using our HR system Breathe HR, our ERP system OrderWise and the full Microsoft Office suite
Some of the key responsibilities include:
Maintain Breathe HR ensuring all staff records are kept up to date. Including induction records, appraisal records, job descriptions, contracts, training records, sickness records etc. Process annual leave year end on Breathe HR, book Christmas leave for each staff member for coming year.
Annual DSE forms to be sent to all staff, collate data on those requiring action and liaise with IT/Operations to resolve any issues.
Carry out annual driving licence checks for company car users ensuring licences are renewed on Breathe HR.
Carry out annual driving licence checks for all staff who could be asked to use personal vehicle for work purposes, ensuring licences are renewed on Breathe HR.
Book training courses as and when required, maintain contact with trainer and those attending, host the trainer on the day and ensure feedback is collected & collated.
Maintain and coordinate Viridian's charity donation programme, ensuring charities are vetted and receipts are collected. Maintain Charity Donation totals spreadsheet.
Administer all HR-related documentation in a timely manner. Such documents will relate to starters, leavers, contracts, Maternity/Paternity, probation completions, etc.
Support company recruitment and onboarding process.
Maintaining calendar for the office & MD
Organise team events, support in community engagement and in-house events.
Handling Adhoc queries/tasks for the MD.
