The HR Booth are delighted to be recruiting for an Office Administrator on behalf of Inchcolm Veterinary Services.

We are located in Castle Industrial Centre, Queensferry Road, Dunfermline from where we are able to provide services and supply products quickly and efficiently throughout the UK and Europe.

KEY RESPONSIBILITIES:





Answering the phone and dealing with customer queries in a professional manner. Check all email inboxes, including individual mailbox, Accounts, Orders, Results & Vets. Using Sage to produce all invoices from suppliers. Ordering supplies. Preparing monthly meat declarations. Processing information for the Wages department. Oversee the day-to-day running of the office. Responsible for entering and maintaining stock data in the system. Pricing up Stock Takes. Responsible for producing monthly statements for customers. Keep track of all monthly, quarterly and annual payments. Keeping an orderly filing system. Reconcile monthly credit card statements. Liaise with the laboratories regarding results. Responsible for the payment of Quarterly VAT. Collate all end of financial year documents for the accountants. A good understanding of the use of social media and Artificial Intelligence is desirable, but not essential as full training will be given.


KEY PERSON CRITERIA:





Proven work experience as an Administrator with experience working in a relevant environment. Organised individual and the ability to prioritise workload. Strong phone, email and in-person communication skills. Proficient IT skills, particularly with Microsoft Word, Excel, PowerPoint, and Outlook. Able to work in a fast-paced busy environment. Able to work well as a team as well as individually.
