Office Administrator
to support the smooth coordination of our field operations.
This role will play a key part in organising administrative processes for planned and reactive works, ensuring service excellence, maintaining compliance, and supporting both field engineers and internal teams.
Full-time and Part-Time option available.
Main Responsibilities
Organise and manage day-to-day administrative tasks for mechanical service projects and planned maintenance.
Schedule and coordinate jobs, working closely with our Contract Support and Service Desk teams
Maintain and update job records using Simpro software (training provided if needed)
Prepare and complete pre-start documentation, risk assessments, and site paperwork
Track job progress and assist with closing out documentation and reports
Communicate clearly with engineers, supervisors, and clients regarding job updates and requirements
Book accommodation, access arrangements, waste collection, and other site needs
Support document gathering for audits and compliance checks
Cover for team members during holidays or absence
Answer incoming phone calls and provide general office support
What We're Looking For
Minimum 2-3 years' experience
in a similar admin or service coordination role
Previous experience in a technical, construction, or building services environment desirable
Confident using
Office 365
(especially Outlook, Word, and Excel)
Experience with
Simpro
software preferred, though full training will be provided
Strong time management and organisational skills
Excellent verbal and written communication
Able to remain calm and solution-focused in a busy environment
A proactive and flexible team player
