Role Overview



We are seeking a highly organised and detail-oriented Office Administrator to join our Human Resources team. This crucial role is responsible for providing comprehensive administrative support to the HR department, assisting in employee lifecycle activities, and contributing to the effective implementation of HR initiatives. The ideal candidate will thrive in a fast-paced environment, have excellent communication skills, and be able to handle confidential information with professionalism and discretion.

Key Responsibilities:



Provide day-to-day administrative assistance to the HR department, including organising meetings, scheduling appointments and handling HR correspondence. Assist in the preparation of HR documents, such as employment contracts, offer letters, and HR policies and procedures. Ensuring a smooth transition for new employees into the organisation. Assist in the resolution of employee relations issues, escalating matters to HR management as necessary. Maintain and organise HR files, ensuring all employee records are up-to-date, accurate, and compliant with legal requirements. Assist with payroll processing by ensuring the accurate and timely submission of employee time sheets and benefits documentation. Help manage and update HR software and databases, ensuring that employee information is current and easily accessible to HR team members. Coordinate training sessions and workshops for employees, helping to schedule training, manage registrations, and prepare materials. Assist in various HR initiatives such as performance reviews, employee engagement activities, and other HR programs to promote a positive work culture. Respond to employee inquiries regarding HR policies, benefits, leave, and other HR-related matters, escalating issues to the HR Manager when necessary. Help ensure the HR department complies with all relevant employment laws and company policies, assisting in the preparation of compliance reports. Supporting the HR team with any other ad-hoc tasks as required. Travel to different sites might be required.

Skills



5 GCSE Grade 9-4 (A - C); additional qualifications in administration or relevant field is a plus.
At least 1-2 years of experience in an administrative role. Strong organisational and multi-tasking abilities. Excellent communication skills, both written and verbal. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with HR & Recruitment software is advantageous (Softworks). Ability to maintain confidentiality and handle sensitive information. Strong attention to detail and accuracy in data entry and record-keeping. A current live driving licence and own transport to enable time at other locations and when required.
