The Office Administrator will provide essential day-to-day operational and administrative support to the business and its leadership team at our flagship Invergordon location. The role will play a key part in ensuring the smooth running of our operations and manufacturing facilities, supporting a range of business functions through effective coordination and administration.
Reporting directly to the Production & Operations Director, the Office Administrator will also work closely with the wider Senior Management Team to deliver high-quality support across the organisation.
Duties
Serving as the first point of contact for all on-site visitors at the flagship Invergordon site, ensuring that all visitors are signed in and inducted upon arrival, being briefed on all site safety measures.
Attending and participating in focus-led business meetings and where required taking minutes and actions on meeting documentation.
Inputting timesheet data from the factory floor into labour tracking documents ensuring accuracy for payroll and labour analysis.
Providing key assistance in the business' Health & Safety management processes, including documenting all Health & Safety reporting, creating RAMS for approval and ensuring general compliance of all processes and procedures.
Creating and issuing approved purchase orders to suppliers, recording receipted deliveries and updating delivery schedules.
Aiding with stock management processes, including process stock movements to ensure accurate recording of project stock spending.
Actively engaging with the business' tier led daily meetings and providing timely updates where required.
Assisting with the management of the Senior Management team's diaries, coordinating meeting arrangements and ensuring this is confirmed back to clients where appropriate.
Organising business travel arrangements in line with site activities and/or diarised meeting arrangements.
Assisting with submissions for industry accreditations and potential future applications
Ensuring office stationery is kept well stocked and re-ordered at regular intervals.
Skills
Proven office experience with a focus on administrative tasks.
Strong computer skills, including proficiency in Microsoft Office Suite, particularly with strong skills towards Microsoft Excel.
Familiarity with Xero is advantageous but not essential.
Excellent organisational skills with the ability to prioritise tasks effectively.
Strong typing skills with attention to detail for data entry tasks.
Ability to work in a fast-paced and evolving environment where duties and priorities may change from time to time.
