Job Summary


We are seeking a highly organized and detail-oriented Office Administrator to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative skills, experience in office management, and the ability to communicate effectively with team members and external partners. This role is pivotal in supporting our staff, managing schedules, and maintaining efficient office processes.

Duties



Manage daily office operations, including clerical tasks and administrative support. Oversee event planning and coordination for internal and external functions. Supervise office staff, providing training and development opportunities. Handle vendor management, ensuring timely service delivery and contract compliance. Maintain accurate records through effective filing systems and bookkeeping practices. Manage payroll processes and assist with human resources functions as needed. Develop and manage budgets for office supplies and events. Utilize QuickBooks for financial tracking and reporting. Coordinate calendar management for executives, scheduling meetings, appointments, and travel arrangements. Answer multi-line phone systems with professionalism, demonstrating excellent phone etiquette. Foster a positive work environment through effective team management and communication.

Requirements



Proven experience in an office administration role or similar position. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent communication skills, both verbal and written. Familiarity with medical office management is a plus but not required. Proficiency in QuickBooks or similar accounting software is preferred. Experience in schedule management, event planning, vendor management, and payroll processing. Ability to work independently as well as collaboratively within a team setting. Previous supervisory experience is advantageous but not mandatory. Knowledge of training & development practices within an office environment is beneficial.
