Job Overview


We are seeking a highly organised and detail-oriented Office Administrator to join our council office team for a period of six months. The ideal candidate will possess strong administrative skills and have a proven track record in preparing for meetings and minute taking. The successful candidate will provide full administrative support in all aspects of council and committee meetings.

Duties



Prepare agendas and reports for all council, committee, and working group meetings. Copy, collate and distribute papers for the various council meetings, publish on the website and circulate to members. Attend council and committee meetings and take the role as minute Clerk. Respond to councillor queries. Draft minutes of all meetings. Keep digital resolutions tracker up to date with all actions and projects arising from council decisions and record upcoming meeting agenda items. Support the process to keep actions on track and visible with the office team. Record and track planning applications for the Planning and Highways committee from receipt to Dorset Council outcome. Assist in updating systems relating to the Council land/ facilities hiring policies, such as hall hire, allotments, markets, weddings, toilets and cemetery. Maintain policy and process documents, keeping an up-to-date tracker of policy review dates and the associated actions. Regular maintenance of members records and election or co-option procedures. Provide administrative support to support the delivery of projects. Assist in the preparation of the annual report, liaising with community groups and councillors for reports and images.

Skills, Experience, and Abilities



Highly competent administrator and minute taker Proficient in the use of Microsoft Office, particularly Excel Proficient in the use of CRMs and databases Excellent verbal and written communication skills, including an ability to relate to, and communicate with, other team members, office staff, councillors and members of the public Accurate record keeping and attention to detail Excellent IT skills Excellent planning and organisational skills Proactive approach to work and communication Able to work independently, or with the minimum of supervision, to given work schedule Able to work as part of a team Able to deal with tasks in an organised and efficient way Able to draft correspondence and reports Exceptional customer service skills and professional telephone manner Able to keep calm under pressure and navigate difficult conversations when needed Able to prioritise work to meet multiple demands and successfully manage workload. Able to manage end-to-end processes
Experience working within a public sector environment is an advantage but not a requirement of the role.

Job Types: Part-time, Fixed term contract
Contract length: 6 months

Pay: 14.82 per hour

Expected hours: No more than 30 per week

Ability to commute/relocate:

Shaftesbury SP7 8LY: reliably commute or plan to relocate before starting work (required)
Experience:

Administrative: 1 year (required) minute taking: 1 year (preferred)
