The Role



As our Office Administrator, you'll play a key part in supporting our Protection Advisors and ensuring our clients receive a seamless experience. This role focuses on the operational and compliance side of the business, ensuring that all documentation, policies and client communications are handled accurately and efficiently.

You'll also contribute to client retention by conducting follow-up calls, walking clients through welcome pack documents, and helping them understand their insurance packages. This is a vital role for someone who takes pride in accuracy, enjoys structure, and thrives in a detail-oriented environment.

Key Responsibilities



Provide administrative and compliance support to Protection Advisors, ensuring clear communication. Data entry and accurate record-keeping. Conduct compliance checks on advisor calls to ensure FCA standards are met. Liaise with insurance providers, clients and surgeries to maintain clear communication channels. Assist with client retention by creating Welcome Packs for clients and booking follow-up appointments to go through documents, and guide clients through completing internal forms and trust documents. Manage incoming and outgoing communication, including phone calls and emails. Handle appointment scheduling, diary management, and call filtering. Support with managing clients claiming on their policies. Ensure all client and policy documents are accurate, up-to-date, and compliant.

About You



We're looking for someone who is:

Exceptionally organised and detail-oriented. A confident communicator with excellent written and verbal skills. Comfortable managing multiple priorities and maintaining accuracy under pressure. Experienced in administrative or compliance roles (insurance or financial services experience is an advantage). Proficient with Google sheets and comfortable learning new systems quickly. Driven by delivering excellent customer service and ensuring positive client experiences. Adaptable and quick learner, with ability to problem solve and evolve processes.
