Haywards Farmshop is a busy, independent retail and butchery business known for high-quality produce and outstanding customer service. We're looking for a proactive and organised Office Administrator to support the smooth running of our day-to-day operations -- both front and back of house. This is a varied and hands-on role covering everything from invoice input and EPOS support to supplier communication and social media.
Key Responsibilities
Customer & Supplier Support:
Handle incoming calls, emails, and supplier queries. Support wholesale customers with admin and ordering.
Invoicing & Accounts:
Help Input invoices using
DEXT
, match them with purchase orders, and help maintain accurate financial records.
EPOS System Admin:
Update product listings, pricing, and stock data to ensure the till system and reporting remain accurate.
Admin & Filing:
Maintain well-organised digital and physical records, including general office paperwork.
Bookkeeping Support:
Reconcile receipts, cash/card takings, and assist with liaising with external accountants.
Scheduling & Communication:
Help coordinate staff rotas, internal updates, and communication across departments.
Compliance & Records:
Keep licenses, certificates, and food safety documentation up to date.
Social Media Support:
Assist in planning and posting content for our social media platforms (e.g. Instagram and Facebook).
Skills & Experience
Proven experience in an administrative role, ideally within retail, food, or small business
Confident using Microsoft Office, EPOS systems, and tools like DEXT
Comfortable creating and managing basic social media content
Excellent organisation and time management skills
Strong written and verbal communication
A hands-on, can-do attitude with the ability to multitask and adapt
