We are looking for an Office Coordinator to join our team in Bicester. Please note, this is a fully office-based role. We'd be happy to consider full and part time candidates,

on a job share basis.

As an office coordinator, you will:



Be a visible, accessible front-of-house member of the Facilities team, providing a warm welcome and help with any Facilities-related queries to all staff and visitors Coordinate and support the setup and smooth execution of Bignell (head office) events, ensuring all facilities, logistical and environmental aspects are well managed. Take ownership of the company mainline, taking and transferring calls effectively and professionally, and provide training and support to new call group members. Monitor and report on mainline call performance, suggest and take forward improvements to support with the delivery of a 5 service
Manage inbound post and packages to ensure it reaches its destination promptly, is stored correctly and outbound post to ensure it is stored safely and collected when it should be. Manage the visitor booking and arrival/departure process to ensure they are warmly welcomed, offered refreshment etc. and promptly connected with their hosts. Administer staff and visitor access cards, including issuing, replacement and collecting cards for staff and visitors. Ensure accurate records are maintained. Work closely with the Bignell Office Lead to continuously improve the office experience for all users. Provide tours as required as part of new staff and visitor orientation Support the Facilities team with the arrangement of both routine maintenance and project-related activities across DM's estate, in line with the team's business plan. Maintain and enhance office aesthetics, including care of indoor plants and proactive improvements to communal spaces.

The successful candidate will:



Excellent customer service skills, with a warm and professional manner. Strong time management and prioritisation abilities, able to juggle multiple tasks efficiently. Excellent administrative and organisational skills with high attention to detail Proficient in the use of the Microsoft suite of applications (Outlook, Word, Excel etc.) for communication and document generation A proactive, positive attitude with a flexible and solution oriented approach.
