We're excited to be opening our new site in Exeter and are looking for an enthusiastic Office Coordinator to join our team. This is a unique opportunity to help shape the office from the ground up, combining front-of-house hospitality with hands-on business and operational support.

What you'll be doing:



Reception & Front-of-House



Act as the first point of contact for all incoming telephone calls to the Exeter site, directing queries appropriately. Welcome and assist all visitors, ensuring a professional and friendly experience. Manage meeting room bookings, including setup and coordination of hospitality (refreshments, lunches, etc.). Maintain a tidy and welcoming reception area.

Operational & Delivery Support



Schedule and coordinate external subcontractors working on site, ensuring compliance with conversion processes. Update internal systems (Smartsheet, SAP) to reflect completed subcontractor work. Arrange third-party delivery movements when required. Monitor vehicle collections and ensure timely updates to relevant systems. Print and prepare delivery notes using SAP. Assemble fuel card packs and manual documentation for outgoing deliveries. Ensure accurate and timely updates to Smartsheet when vehicles leave the site.

What we're looking for:



Experience in a reception, administrative, or operations support role. Strong organisational and multitasking skills. Confident communicator with excellent interpersonal skills. Comfortable using Microsoft Office; experience with SAP or Smartsheet is a bonus (training provided). Self-starter with the ability to manage multiple priorities in a dynamic environment. Valid UK driving licence as training.
