Office Manager
to oversee the smooth running of the practice and support both client-facing and internal operations.
Role Purpose
The Office Manager will play a central role in the day-to-day operations of the practice. This includes managing office functions, client administration, marketing, communications, and ensuring that internal processes run efficiently. The role requires excellent organisational skills, strong communication abilities, and the flexibility to work across multiple functions in a small but dynamic business.
Key Responsibilities
Client & Business Development
Manage client onboarding, ensuring smooth transition and compliance with internal procedures.
Draft, issue, and follow up proposals for prospective clients.
Support client relationship management, acting as a key contact for existing clients.
Assist in developing and delivering marketing campaigns, including digital and print.
Manage social media accounts and online presence to support business growth.
Finance & Administration
Raise and issue client invoices.
Credit control.
Review, process, and manage administrative supplier invoices.
Monitor and maintain internal budgets for office expenses and supplies.
Support HR functions, including maintaining employee records and coordinating documentation.
Manage and update internal contracts, agreements, and practice documentation.
Operations & Processes
Oversee software management, including internal practice tools and client-facing software where managed by us.
Ensure internal processes and policies are regularly reviewed and updated.
Implement and improve office procedures to ensure efficiency and compliance.
Manage office supplies, equipment, and vendor relationships.
Coordinate with external providers for services and support as needed.
Communications
Act as the first point of contact for external communications, ensuring timely and professional responses.
Support internal communication and coordination across the practice team.
Draft and manage correspondence, newsletters, and announcements to clients and stakeholders.
Skills & Experience
Previous experience in an office management, operations, or practice support role (professional services experience desirable).
Strong organisational and multitasking skills with excellent attention to detail.
Confident communication and interpersonal skills, both written and verbal.
Good working knowledge of Microsoft Office, cloud-based systems, and practice management software (experience with accountancy software desirable).
Experience managing social media platforms for business purposes.
Ability to manage confidential information with discretion.
Proactive, self-motivated, and comfortable working independently in a small-team environment.
