The Role




We are looking for a highly organised, proactive

Office Manager

to take ownership of the day-to-day running of our office and support with the adjoining warehouse. This is a hands-on role that plays a key part in ensuring our workplace is safe, compliant, efficient, and welcoming.


The Office Manager will manage office and warehouse suppliers and contracts, support health & safety policies and procedures, provide UK-based HR administrative support, and oversee IT, mobile phones, site security, and all general office services.

Key Responsibilities

Office & Warehouse Facilities



Maintain the condition of the office and adjoining warehouse, arranging repairs and coordinating decorating when required Oversee miscellaneous building maintenance, including waste management documentation (e.g. Grundon), grit spreading, and reactive works Monitor, organise, and record all building maintenance, servicing, and statutory testing Take gas and water meter readings as required Manage renewal of gas and electricity contracts for the building Ensure monthly and quarterly office and warehouse inspections are completed and recorded

Suppliers & Contracts



Act as the main point of contact for all office and warehouse suppliers Manage supplier performance, renewals, and service levels Ensure all contract renewals are tracked, reviewed, and benchmarked for value

Health & Safety



Support the development, implementation, and ongoing maintenance of health & safety policies and procedures Champion health & safety standards across both office and warehouse environments Liaise with external Health & Safety providers to ensure continued compliance Carry out weekly fire alarm tests and coordinate annual fire drills Cover fire alarm monitoring as required Perform monthly emergency lighting and water testing Maintain first aid boxes and related supplies

IT, Phones & Security



Act as the UK point of contact for IT support, working with external providers to resolve issues Manage company mobile phones for UK employees, including ordering devices and resolving issues Order IT equipment as required and maintain accurate asset records Work with external security companies to ensure office and warehouse access is appropriately managed

Office Administration & Supplies



Manage Amazon ordering for miscellaneous office and warehouse requirements Place regular Sainsburys orders for office supplies and refreshments Maintain stationery supplies and organise the stationery cupboard Manage washroom amenities and consumables Oversee printer cartridge recycling Manage and maintain office equipment, including the Nespresso machine

Meetings, Catering & Events



Coordinate onsite meetings and visits Set up the boardroom and meeting rooms Arrange lunches and drinks for boardroom meetings Organise office events, including party planning and team activities Coordinate seasonal office initiatives, including Christmas and Easter office gifts (e.g. Advent calendars and Easter eggs) Support wellbeing and engagement initiatives, including positive planning activities

HR Support (UK)



Assist and support the Group HR Manager with UK-based HR administration tasks as required Coordinate and deliver inductions for all new starters Ensure new starters are set up with access, equipment, and documentation

Fleet & Logistics Support



Organise van servicing, repairs, and MOTs Order clothing and PPE for warehouse staff as required
####

Business Support



Provide ad-hoc assistance to Directors when required Work closely with the UK Operations Manager and Group HR Manager to support business needs

About You



Highly organised with excellent attention to detail Comfortable taking ownership of a wide-ranging, hands-on role Confident managing suppliers, contracts, and external providers Happy operating across office and warehouse environments Practical, approachable, and reliable the person people go to when things need doing Experience in office management, facilities, or operations is desirable

Schedule:
