As Office Manager at Act on Energy, you will take the lead in managing the day-to-day operations of the office, ensuring it runs smoothly, efficiently, and professionally, while also providing valuable support to the Senior Leadership Team. This role combines office management and executive support - helping to create a well-organised and collaborative workplace that reflects Act on Energy's people-first culture and values.
You'll take ownership of office coordination, HR administration support, logistics and health & safety compliance. This role requires excellent communication skills, a meticulous attention to detail, and the ability to manage multiple tasks effectively in a diverse but rewarding environment.
Key Responsibilities
Oversee the day-to-day management of the Act on Energy office, ensuring a professional, safe, and welcoming environment.
Liaise with contractors and suppliers to manage facilities, maintenance, and site compliance.
Manage reception, parking allocation, deliveries, and visitor processes, ensuring a positive experience for all guests.
Monitor and manage office budgets, supplies, and equipment, supporting sustainability and cost efficiency.
Act as Fire Warden, First Aid Officer, and Health & Safety coordinator for the office.
Ensure adherence to health and safety regulations, including new starter inductions.
Ensure the office environment is clean, safe, and welcoming for staff and visitors.
Coordinate logistics and setup for on-site meetings and customer training sessions, ensuring all technical and hospitality requirements are met.
Ensure the smooth flow of communication between teams, departments, and the Senior Leadership Team.
Coordinate onboarding processes and maintain employee records.
Schedule and coordinate meetings, appointments, and travel arrangements for SLT.
Assist in the planning and execution of company events and meetings.
