Summary
Due to continued growth we are looking for a passionate and experienced Office Manager & Executive Assistant to the CEO. The role will be based in Cheltenham and you will be required to travel between our branches. You will be at the forefront of managing business resources, coordinating activities and engaging with internal and external stakeholders to ensure the successful day-to-day running of business operations. This role would be a great fit for an individual who enjoys being the glue / go-to person in a business, essentially a creative person who is motivated by employee and customer satisfaction. Your Responsibilities:
EXECUTIVE ASSISTANT

  • Liaising with employees, key stakeholders, suppliers and clients
  • Time and Task Management for the CEO
  • Attendance at meetings as required by the CEO, ensuring the recording and distribution of minutes of meetings
  • Managing CEO email inbox
  • General administration activity to support the CEO
  • Conduct research, assemble and analyse data to prepare reports, presentations and correspondence in response to the business requirements
  • Booking and arranging travel, transport and accommodation
  • Organising events, meetings / appointments often controlling access to the CEO
  • Proactively support the CEO in managing tasks and deadlines
  • Working with the CEO members\xe2\x80\x99 direct reports to ensure key tasks are being completed
  • Miscellaneous tasks to support the CEO with day-to-day operations
  • Point of contact and information for team, when not available
OFFICE MANAGEMENT
  • Ordering of office supplies including stationery for all offices
  • Assist with the day to day building maintenance and Health & Safety management
  • Management of the maintenance log and maintenance requests
  • Management of company vehicles
  • Ensuring efficient office operations and procedures, including updating and designing new systems
  • Participation in the identification, planning and implementation of optimisation of internal IT processes
  • Support HR Admin, including:
    • Supporting the Company management team in the process of recruitment, selection, and retention
    • Responsible for coordination of induction and onboarding of all new staff
  • Supplier management
  • Collaborate with senior management to develop and implement business strategies to drive operational efficiency
  • Drive a culture of continuous improvement
  • Manage the performance and professional development of the team
  • Implement process and business changes in a documented and structured manner
Your Skills and Experience:
  • Full clean driving license & own car
  • 4 years experience working in a similar office manager and/or executive assistant role
  • High level of self-motivation and commitment as well as the ability to work in a team
  • Understands and applies strong principles of confidentiality at all times
  • Organised & ability to prioritise
  • Meticulous attention to detail
  • Understanding of office management procedures
  • Ability to maintain professional boundaries
  • Ability to handle ambiguity
  • Strong communication skills (both written and verbal)
  • The ability to deal with multiple issues simultaneously in a highly dynamic environment
  • Competent in Office 365
  • Flexible and adaptabile
  • The ability to be proactive and take the initiative
  • Tact and diplomacy
  • Appropriate level of data protection, security awareness and confidentiality awareness.

Competitive Salary: \xc2\xa332,000 - \xc2\xa338,000 PA
