Office Manager/Personal Assistant

Salary: \xc2\xa330-35k per annum dependent on experience, plus company benefits

Location: Freeths LLP - 1st Floor, 1 Atlantic Quay, 1 Robertston Street, Glasgow G2 8JB

Contract: Permanent, Full time

Shifts: Monday\xe2\x80\x93Friday, 37.5 hours per week, shifts within office operating hours of 08:00-18:00

Purpose of the role

Williams Lea have a fantastic opportunity to join a growing team in Glasgow as a Legal Office Services Manager/Personal Assistant. This full-time position will require the successful candidate to provide general office administration management to our client while heavily supporting two Real Estate Partners with PA services to enhance efficiency. The support provided to our client will require a high degree of customer services, hands-on direction, initative and daily self-management. This role will encompass a degree of client meeting room management, daily general office management and administration with wider support services as required..

Key Responsibilities

  • Ensuring the smooth running of the office and all day-to-day operations
  • Conserve high communication with building management, external contractors, and provide general facilities maintenance
  • Administer & oversee office Health and Safety alongside ensuring sufficient levels of First Aiders, Mental Health First Aiders and Fire Wardens
  • Ensuring staff security and staff access to the premises
  • Answering phone calls in a timely manner and recording accurate telephone attendance notes
  • Meeting clients and managing on-site meeting rooms and providing hospitality & catering services
  • Receiving, processing, distributing and externally sending mail items and the arrangement of couriers
  • Ordering and distribution of stationery supplies to the office
  • Ensuring the highest level of office compliance and communications both internally and externally
  • Responsible for client relationships and the initiative to expand our services
  • Supporting the Real Estate partners with administration and adhoc requests:
  • Preparing and collating documents for printing, scanning and photocopying with a high level of finish
  • Drafting client correspondance
  • Management of document archiving in line with the firm\xe2\x80\x99s policy and procedures
  • Navigating internal and external portals such as The Land Registry portal and iManage
  • Diary management for the office and Partners, including booking travel and raising expenses in a timely manner
  • Assisting with finance, client & monthly billing
  • Raising month end reports and collating this information for the client
Key Skills
  • Prior office management experience
  • Exceptional PA services experience, within Legal/Real Estate is advantageous
  • Competent with all Microsoft packages
  • Knowledge around Real Estate databases
  • Excellent multi-tasker
  • High attention to detail
  • Exceptional communication skills and professional approach
  • Ability to work to deadlines and prioritise workload
  • Ability to work as part of a team alongside working independently
  • Customer service experience
