Job Purpose
The Office Manager will oversee the day-to-day administrative and operational functions of our charity, ensure efficient office management and provide critical support to our programs. This role requires a proactive, empathetic individual with excellent organisational skills and a commitment to our mission.
Key Responsibilities
Manage daily office operations, maintaining office supplies, equipment, and facilities.
Oversee administrative processes, such as record-keeping, filing systems, data management, ensuring compliance with GDPR and other relevant regulations.
Coordinate schedules, meetings, and appointments.
Handle incoming inquiries (phone, email, and in-person) directing individuals to appropriate services or staff.
Assist with basic financial tasks, including processing invoices.
Support grant applications.
Program Support
Manage asylum seeker referrals to our services.
Coordinate logistics for workshops, training sessions, and activities.
Maintain accurate records of service users' engagement, ensuring confidentiality.
Support the recruitment, and scheduling of volunteers.
Line Management
Provide direct line management to staff and office volunteers.
Support staff development through training and mentoring.
Delegate tasks effectively and ensure workloads are managed fairly.
Client Support
Maintain accurate records of client interactions and ensure confidentiality.
External Partnerships
Attend meetings with partner organisations, funders, and stakeholders as required.
Represent the charity professionally, sharing updates for effective collaboration.
Build and maintain positive working relationships with external partners.
