This role is for 20 - 25 hours per week, 18k - 25k dependant upon hours and experience.
Summary
Responsible for the efficient running of the office by managing supplies, facilities, schedules and correspondence. This role involves managing the office operations and facilities, whilst providing administrative support across finance, human resources, marketing and directors.
Role Responsibilities
Manage office operations and facilities
Office: Ensure that the day-to-day operations in the office run smoothly and efficiently
Facilities: Manage office equipment, deal with maintenance issues and liaise with vendors for cleaning and IT equipment and services
Supplies: Maintain office supply inventory and procure supplies cost effectively
Communications: Oversee the procurement of phones and network connections
Fleet: Ensure that vehicles are managed throughout the lease period in accordance with the agreement
Provide administrative support
Scheduling: Co-ordinate internal and external meetings, appointments and travel arrangement
Correspondence: Handle incoming and outgoing mail (post or electronic)
Filing: Develop and maintain efficient digital and paper filing systems
MD support: Support the MD with administrative tasks, including with customer agreements (e.g. Registered Contractor Agreements) and warranties
Social media: Monitor and administer the key social media accounts (e.g. Linkedin)
Finance: Support the finance function, including invoicing, credit control and other administrative duties
Human Resources
Recruitment: Support the relevant head of department to establish and implement the most effective recruitment strategy for any new role or replacement, including defining the role, advertising the opportunity and selecting the most suitable candidate
Onboarding: Lead the development and implementation of new employee onboarding, including ensuring suitable equipment and a detailed induction programme
Policies: Manage the administration of policies, helping to keep them in line with changing regulatory and company requirements
Records: Maintain confidential records of employees' HR files and notes
Desirable Status & Experience of role holder
Keen interest in and understanding of office management.
Experience of working in an office environment, managing multiple tasks at any given time.
Proven record of dealing with information confidentially and sensitively.
Strong communicator with a high degree of organisation.
Ability to work collaboratively at all levels and influence cross-functional teams.
LOCATION
This is an office-based role, primarily conducted at our UK HQ in Havant.
