Overview


We are seeking a highly organised and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills, excellent communication abilities, and extensive knowledge in providing operational office management. This role is pivotal in ensuring that our office runs smoothly and efficiently, supporting both staff and clients alike.

Responsibilities



Preparing, organising and storing information in paper and digital form

Dealing with queries on the phone and by email

Management of company fleet

Sending daily reports

Management of company accreditations including ISO's, CHAS, Constructionline to name a few

Raising quotes, purchase orders and invoice

Updating computer records using our in house operational system

Scheduling work, surveys, visits and meetings

Arranging travel and accommodation

Arranging post and deliveries

Taking minutes at meetings

Ordering office supplies

Maintaining current and introducing new office systems

Liaising with suppliers and contractors

Social media management

Working closely with Operations Director to continuously develop and improve in house systems to increase productivity and efficiency across the business

Requirements



Proven experience in an office management or administrative role. Strong organisational skills with the ability to prioritise tasks effectively. Excellent verbal and written communication skills. Experience in supervising a team and fostering a collaborative work environment. Proficiency in Xero accounting software is preferred. Familiarity with human resources processes is advantageous. Ability to handle multiple tasks simultaneously while maintaining attention to detail. A proactive approach to problem-solving with strong decision-making capabilities.
