NDAS provides practical and emotional support to victims of domestic abuse in Northumberland.
NDAS empowers victims to make decisions, increase their options, their confidence and safety. Prevention and awareness raising activities are also delivered across Northumberland and counselling to the children of our service users.
Established in 2003, NDAS has a track record of providing excellent services and is a key member of domestic abuse provision in Northumberland. We aim to provide operate to high professional standards in tackling domestic abuse.

Purpose of the job
The Office Manager is responsible for administrative activities that facilitate the smooth running of the NDAS by maintaining office systems and communications.
Responsibilities:
Office administration
Maintain office, building and equipment in accordance with relevant policy such as health and safety, and arrange for necessary repairs/replacement as agreed with the CEO.
Arrange regular testing of equipment to meet Health and Safety and Fire Safety requirements.
Manage and record office expenditure against the budget agreed with the CEO
Manage petty cash
Manage online and paper filing systems
Book staff training and maintain a central record
Develop and implement new administrative systems
Use Microsoft Office 365 software, including email, spreadsheets and databases, to ensure the efficient running of the office
Respond to enquiries and complaints
Supports the review, maintenance and implementation of NDAS policies and procedures
Maintain a confidential log of passwords
Maintain the agreed supplier list/liaising with suppliers and recording orders made
Maintain IT systems (Microsoft/Oasis), supporting staff with any issues
Reporting, data management and finance
Maintain monitoring and evaluation systems including implementing new monitoring measures
Data analyses and production of data reports
Provide updates/reports to CEO/Team Leader as required
Provide backup financial support to monthly reconciliation processes as required. At a minimum this entails filing of hard copy invoices
With SMT review budget spend
Operational tasks
Undertake logistical tasks for events and to support the team
Supports the CEO in completing operational requirements in-line with Companies House and the Charities Commission by scheduling and completing tasks assigned to an 'organisational calendar
Produce monthly payroll
Support with Bank Accounts, Payments and Investment Accounts
Process staff mileage/expenses claims
Health & Safety Officer - responsible for implementation of the Health and Safety Policy with the CEO
Fire Warden - responsible for implementation of the Fire Safety Policy with the CEO
Support with board meeting set up
Part of Senior Management Team supporting CEO
Communications
With the CEO produce and maintain the Communications Strategy
As Social Media Lead produce an annual media calendar
Work with the Funding and Marketing Manager to manage social media presence
Maintain the NDAS website
Policies and procedures
Support CEO to review and update NDAS policies and procedures
Ensure data protection laws are being adhered to in relation to the storage and retention of data in accordance with the Data Protection Policy
Oversee recruitment including recruitment administration, induction and NCC training portal
Collect and record personnel information (HR checklist, DBS, car insurance etc.)
Skills
You will need to have:
Excellent organisational and time management skills
Knowledge of Microsoft Office 365 (Word, PowerPoint, Excel), WordPress, social media platforms and other commonly used office packages
Confidence in using a CRM system
Strong IT and typing skills
The ability to prioritise tasks and work under pressure
Good teamworking skills and the confidence to lead and motivate a team
The ability to manage your own workload and supervise the work of others concurrently
Excellent interpersonal, oral and written communication skills
Attention to detail
Flexibility and adaptability to changing workloads
A problem-solving approach to work
A familiarity with legislation in the areas of employment, inclusion, diversity and equality, health and safety, and data protection is also useful.
